How to move from Kitomba to Mahi Time

Kitomba's self-serve export is the client list. Services are easy to rebuild or read from your public Kitomba booking page, and appointment history depends on what your package lets you report on. We do the mapping for most Kitomba moves ourselves.

Kitomba menu paths checked 31 October 2026 against the Kitomba help centre. Vendors move menus; tell us if a step no longer matches.

Who this guide is for

Kitomba and Kitomba One salons in New Zealand or Australia. You need an account that can open the Clients tab and generate client lists.

Importer source to pick: Other / generic CSV

What comes across

  • Clients: names, phone, email, address, date of birth and notes from the client list download.
  • Services: rebuilt from your public Kitomba booking page by our extractor, or typed in.
  • Upcoming bookings: from a Kitomba appointment report where your package includes one, otherwise re-keyed from the calendar for the next few weeks (we help).
  • Vouchers: outstanding balances loaded by us from your voucher report.

What does not

  • Loyalty points and concession balances, unless you send the report and we seed them.
  • Stock levels and retail history.
  • Staff targets, rosters and historical KPIs.
  • Kitomba Pay card details.

Part 1. Export from Kitomba

Inside Kitomba, on a desktop browser.

  1. 1

    Generate a full client list

In Kitomba 1 open the Client tab in the top navigation bar and choose Client lists. Choose the full list (no filters), then Generate Client list. When it finishes choose Download the list; it comes down as a spreadsheet. In Kitomba One the same option is Clients > Export client list > CSV.

  2. 2

    Save services

Kitomba does not export the service menu as CSV. In Mahi Time paste your public Kitomba online booking URL into Settings > Import data > Services and the extractor reads names, durations and prices. Check the preview and adjust.

  3. 3

    Appointment report

If your package includes an appointments or bookings report, run it for today forward with all staff and download it as CSV. If it does not, print the next four weeks of the calendar or send us a screenshot per day and we key the upcoming bookings in with you.

  4. 4

    Voucher balances

Run the gift voucher report, export it, and send it through the contact form. We load the outstanding balances so clients can keep redeeming.

  5. 5

    Do not re-save in Excel

If Kitomba gives you an .xlsx, upload it as is or save a copy as CSV UTF-8 without editing cells. Re-saving can strip leading zeros from phone numbers.

Part 2. Import into Mahi Time

Settings > Import data in your Mahi Time admin.

  1. 6

    Open the importer

In your Mahi Time admin go to Settings > Import data. The wizard runs in three passes: clients first, then services, then bookings, because bookings reference the other two.

  2. 7

    Pick the source and upload

Choose the platform you are leaving (or Other / generic CSV), then upload the matching file. The reader accepts comma, semicolon or tab separated files and strips Excel byte-order marks.

  3. 8

    Check the mapping preview

Every Mahi Time field is listed with the CSV column we matched to it. Required fields are starred. The preview shows the first five rows so you can catch a swapped first and last name before anything is written.

  4. 9

    Resolve the unmatched staff warning

When a booking file names a staff member that does not exist in your workspace yet, the wizard warns you and lists the names. Add those people under Team (or map the column to a different name) and re-run the preview. Rows with an unknown staff member are skipped, never guessed.

  5. 10

    Run the import

Click Run. You get a summary of imported, skipped and failed rows with the reason for each. Imports are idempotent: re-running the same file updates rows instead of duplicating them, so you can fix a column and run again.

Part 3. Switch day checklist

The order matters. Do these on the day you go live.

  1. 11

    Take a final export

On switch day, export clients and bookings from the old system one last time and re-run the import so the last few days of bookings come across. Re-runs update in place.

  2. 12

Close new bookings in the old tool

Turn off online booking in the old system (or set its booking page to closed) so clients cannot book into a calendar you are no longer watching.

  3. 13

    Swap the booking link

Update the Book now link on your website, Instagram bio, Facebook page and Google Business Profile to your Mahi Time booking page. If you use the embed snippet, paste it from Settings > Embed.

  4. 14

Point the phone at the receptionist

If you have the AI phone receptionist, forward your business number (or your after-hours line) to the number shown under Voice agent. It starts answering in your business name straight away.

  5. 15

    Tell your clients

Send one SMS or email from Mahi Time: new booking link, same team, same prices. Anyone who replies to the SMS reaches you, because it comes from a local number.

  6. 16

Keep the old account read-only for a month

Do not cancel the old subscription on day one. Keep it for a billing cycle so you can look up anything the export missed, then cancel.

Or we do it for you

Would rather not touch a CSV? Send us your exports through the contact form and we will map and import them for you, free, usually within one working day.

After the trial: NZ$109 (approx A$100) a month for two team members, NZ$21 (approx A$19) per extra. No commission.

Moving from Kitomba: questions

Can I get my appointment history out of Kitomba?

It depends on your package and whether you can run an appointments report. If you can, export it as CSV and we map it. If not, we bring across the upcoming few weeks by hand with you so nobody is missed, and the history stays in your read-only Kitomba account.

Does Kitomba charge to export?

Generating a client list is included. Kitomba's pricing page notes that data imports into Kitomba are charged; exports out are self-serve.

Will you do the whole move for us?

Yes. Send the client list, the voucher report and your booking page URL through the contact form and we set it up, usually within a working day, free.
